VERO TRIP is the name used by the business operating gochinaholiday.com. In this policy, “VERO TRIP”, “we”, “us” and “our” refer to that business. We respect your privacy. This Privacy Policy explains what personal information we collect when you visit the website, contact us, ask us to plan a trip, or use our travel services; why we use it; when we share it; and the choices and rights that may be available to you.
This policy applies to this website and to enquiries or trip-planning conversations with VERO TRIP by email, telephone, WhatsApp or WeChat. A third-party website, app, payment service, airline, hotel or other travel supplier has its own privacy practices and is not covered by this policy.
1. Information We Collect
Information you provide
Depending on how you interact with us, you may provide:
- Contact details, such as your name, email address, telephone number, WhatsApp or WeChat contact details, country or nationality.
- Enquiry and trip preferences, such as destinations, dates, group size, budget range, accommodation preferences, interests, special requests and the content of your message.
- Booking and traveller details, if you proceed with a booking, such as the names of travellers, passport or identification details where necessary, arrival and departure information, rooming arrangements, emergency contacts and other information needed to arrange the requested services.
- Payment and transaction information, such as amounts, currency, payment status and transaction references. If a separate payment provider processes a payment, that provider may collect payment credentials under its own privacy policy; we do not ask you to put full payment-card details in our general enquiry form.
- Service and communication records, including emails, messages, feedback, complaints and records of the assistance you request.
- Optional special requirements, such as dietary, accessibility, mobility or health-related information that you choose to provide because it is relevant to your trip. Please share only what is necessary.
Information collected automatically
When you use the website, we and our service providers may automatically receive technical and usage information, including your IP address, approximate location derived from the IP address, browser and device type, operating system, language, referring page, pages viewed, dates and times, links or buttons used, and cookie or similar identifiers. We use this information to operate and protect the website, understand how it is used and measure our marketing.
Information from other people or organisations
A lead traveller may give us information about other members of a group. If you provide another person’s information, please make sure you are authorised to do so and that they understand how their information will be used. We may also receive information from travel companions, travel agents, hotels, transport providers, attractions, guides, payment providers, WhatsApp, WeChat or other parties involved in your enquiry or booking.
You can choose not to provide optional information. If particular information is necessary to answer your request, confirm identity, meet a legal requirement or arrange a service you ask us to book, we may be unable to provide that part of the service without it.
2. How We Use Your Information
We may use personal information to:
- reply to your enquiry and communicate with you in your preferred channel;
- understand your requirements and prepare, revise or price a proposed itinerary;
- confirm, manage and deliver booked travel services;
- coordinate with hotels, transport providers, guides, attractions and other travel suppliers;
- process and reconcile payments, invoices, refunds and transaction records;
- provide support before, during and after a trip, including handling changes, emergencies, feedback or complaints;
- operate, troubleshoot, secure and improve our website and services;
- measure website use, enquiries and advertising performance;
- prevent fraud, misuse, security incidents or unlawful activity;
- meet tax, accounting, regulatory, legal or dispute-resolution obligations; and
- send marketing communications where you have asked for them or where applicable law otherwise allows, with a way to opt out.
We do not use personal information to make solely automated decisions that produce legal or similarly significant effects for you.
3. Legal Bases for Processing
The legal basis depends on the information, purpose and law that applies. We generally rely on one or more of the following:
- Steps at your request and performance of a contract: to respond to a trip request, prepare a proposal and arrange services you book.
- Legitimate interests: to operate and improve our business and website, communicate with customers, measure service and marketing performance, protect our systems and establish or defend legal claims, where those interests are not overridden by your rights.
- Consent: where you choose to receive certain marketing, provide optional sensitive information, or where consent is required for particular cookies or processing. You may withdraw consent at any time, without affecting processing already carried out lawfully.
- Legal obligations: where we must keep or disclose information to comply with applicable law, regulation, tax, accounting or lawful authority requests.
- Vital interests: in a genuine emergency where processing is necessary to protect a person’s life or safety.
4. Cookies, Analytics and Advertising
Cookies and similar technologies help the website function and help us understand visits, interactions and enquiries. Some are placed by us and some by service providers.
Our website uses Google Tag Manager to manage measurement tags, Google Analytics to understand website use and enquiry interactions, and Google Ads to measure advertising and campaign results. These services may process device, browser, cookie, IP-address and interaction information according to their own terms and privacy notices. A tag manager helps deliver tags; it is not itself a promise that every visitor will receive the same cookies.
You can control or delete cookies through your browser settings. Blocking some technologies may affect website features or measurement. Google also provides information about how it uses information from sites or apps that use its services and explains how to use the Google Analytics opt-out browser add-on.
Some browsers or extensions send “Do Not Track” (DNT) or Global Privacy Control (GPC) signals. There is no uniform DNT standard, and this website does not currently respond to DNT signals or provide a separate cookie preference centre. Where an applicable law requires us to recognise a supported browser-based preference signal, that legal requirement applies. You may also use browser controls or contact us about your privacy choices.
5. How We Share Information
We may share information only as reasonably necessary for the purposes described above, including with:
- Travel suppliers, such as hotels, transport operators, guides, attractions, golf courses, restaurants and other partners needed to quote, book or deliver your itinerary.
- Technology and business service providers, such as website hosting, security, email-delivery and enquiry-processing services (including EmailJS), analytics, advertising, document, communication and payment providers.
- Communication platforms, including WhatsApp (a Meta service) and WeChat (a Tencent service), when you choose to contact us through those services.
- Professional advisers and insurers, where necessary for accounting, audit, insurance, legal advice or claims.
- Authorities or other parties, where required by law, legal process or a lawful request, or where reasonably necessary to protect travellers, our rights, security or property, or to investigate fraud or misuse.
- A successor organisation, in connection with a merger, reorganisation, financing, sale or transfer of all or part of our business, subject to appropriate confidentiality and legal requirements.
When an external provider receives your information, it may act on our instructions or as an independent organisation under its own privacy policy, depending on the service and circumstances. Analytics and advertising disclosures, including possible use of identifiers for measurement or advertising, are described in the Cookies, Analytics and Advertising section above.
6. International Data Transfers
VERO TRIP operates from China and serves international travellers. Travel arrangements also require information to follow the itinerary. As a result, personal information may be processed in China, in the destinations or transit points in your trip, and in countries where our technology providers or travel suppliers operate. Privacy laws in those places may differ from the laws where you live.
The notice, consent, assessment, contract or other safeguard required for an international transfer depends on the countries and laws involved. You may contact us for information about the destinations and transfer arrangements relevant to your information.
7. How Long We Keep Information
We keep personal information only for as long as reasonably necessary for the purpose for which it was collected and for legitimate operational, accounting, tax, legal, fraud-prevention or dispute-resolution needs. The period varies according to:
- whether you made only an enquiry or completed a booking;
- the length of our relationship and whether follow-up support is needed;
- contractual commitments and supplier record requirements;
- applicable limitation, tax, accounting and regulatory periods;
- the sensitivity of the information and the risk of keeping it; and
- the settings and retention periods of the technology services we use.
When information is no longer needed, we delete it, anonymise it or securely isolate it until deletion is possible, subject to applicable law and backup cycles.
8. Data Security
We use reasonable administrative, technical and organisational measures designed to protect personal information against accidental loss and unauthorised access, use, alteration or disclosure. Access is limited according to business need. No website, internet transmission or storage system is completely secure, so we cannot guarantee absolute security. Please use caution when sending information online and contact us if you believe your interaction with us is no longer secure.
9. Your Rights and Choices
Depending on where you live and the law that applies, you may have the right to:
- ask whether we process your personal information and request access to it;
- correct inaccurate or incomplete information;
- request deletion of information;
- restrict or object to particular processing, including direct marketing;
- receive certain information in a portable format;
- withdraw consent where processing relies on consent;
- ask for information about certain recipients or international transfers;
- appeal a decision about a rights request where local law provides this; and
- complain to the data-protection or privacy regulator where you live.
You may object to direct marketing at any time. Use the unsubscribe method in the message, tell us through the same channel, or email trip@gochinaholiday.com.
To exercise another privacy right, use the contact details at the end of this policy and write “Privacy Request” in the email subject where possible. Tell us what you are requesting and which email address, telephone number or booking the request relates to. We may need to verify your identity and authority before acting. Rights are not absolute; if an exception applies, we will explain our response where required.
10. Children and Family Travel
Our website is intended for adults planning travel and is not directed to children. A parent, guardian or authorised group organiser may provide limited information about a child when necessary to plan family or group travel. Please provide only what is needed. If you believe a child has submitted personal information to us without appropriate permission, contact us so we can review and, where appropriate, delete it.
11. Third-Party Links and Services
The website may link to external websites, maps, social networks, messaging apps, videos, travel suppliers or other services. Following a link or using an external service may allow that provider to collect information from you. We do not control those services and encourage you to read their privacy notices before providing personal information.
12. Changes to This Policy
We may update this Privacy Policy when our services, technology, suppliers or legal obligations change. The “Last updated” date at the top shows when this version was issued. Material changes may also be highlighted on the website or communicated directly where appropriate. Please review this page periodically.
